This is an exciting opportunity, providing dedicated secretarial and administrative support to two members of the tax leadership team as well as administrative support to the wider international tax team. The role is an integral part of the tax function, where you’ll need to be approachable and visible within the function. You’ll help leadership and the wider team make the best use of their time by organising meetings and travel arrangements and dealing with secretarial and administrative tasks. You’ll play a pivotal role in ensuring the department runs effectively.

About the role

-Manage the team’s meeting needs, including diary management, room & catering booking.
-Provide support to produce agendas & slide packs for key meetings.
-Manage travel & accommodation arrangements (domestic & international) for the team, and support travel arrangements for US team members visiting the UK.
-Record all incoming & outgoing post and all correspondence with HMRC.
-Work collaboratively with other Personal Assistants, to deliver cross-functional support.
-Manage payment arrangements for vendors (POs, approvals, payment, accruals).
-Maintain effective department filing system & support in moving all historic correspondence from the network drive to SharePoint.
-Responding to internal & external queries, liaising with colleagues at all levels.
-Support with business processes e.g. holiday booking, expenses, EBP, hospitality log, payroll, IT access requests, new joiners.

What you’ll need to have

-Previous experience as a Personal Assistant to leaders.
-Exceptional organisational & diary management skills with a high degree of accuracy.
-Experience & proficient in using the full Microsoft Office suite, with knowledge of a range
of software packages.
-Exceptional written and oral communication skills.
-Strong inter-personal skills, effective in building relationships with people at all levels.
-The ability to work autonomously, multitask and prioritise workload.
-Discretion and an understanding of confidentiality issues.

It would be great if you also have
-Experience in Microsoft SharePoint
